Historically, commercial property businesses have had to contend with the paperwork and data that sit at the heart of property management. Teams manage large volumes of leases, tenant correspondence, invoices, maintenance records, compliance documents, insurance certificates and other property records, often spread across different systems and formats.

Much of that information needs to be entered, checked, and kept up to date manually. With so much data to manage, property teams have historically had to prioritize what gets reviewed and accept that some information will inevitably go unchecked.

AI is beginning to change that equation. The opportunity isn't simply to make existing processes faster. It is to make it practical to extract, compare and monitor information across an entire portfolio, including work that would previously have been too time-consuming or expensive to do at scale.

Is automating routine tasks as good as it gets?

Many CRE firms use AI tools to speed up routine, everyday tasks that often end up taking large chunks of time. By outsourcing these processes to AI, professionals are freed up to spend time on other, higher-level tasks, thereby speeding up workflows and increasing workflows, productivity, and sales volume.

Companies are increasingly recognizing how AI can be used to automate repetitive manual processes and support CRE professionals. According to JLL's recent Global Future of Work survey, 78 percent of business and CRE leaders see AI as something that will significantly impact their portfolio strategies and how their business functions over the next 3 to 5 years.

However, only 15 percent reported having moved beyond exploring AI tools and initial deployment to actively integrating AI into CRE operations. As companies around the world continue to assess how AI can be implemented into their operations, innovative AI offerings are emerging that can do much more than just automate routine tasks. So what does it look like when AI moves beyond automating the tasks everyone already knows about?

Untapped potential and AI at scale

Tom Wallace is the CEO of Re-Leased, a commercial property management software firm that offers clients a built-in AI suite. While much of the AI products on the market are aimed at helping companies save time and money, Wallace is looking even further into the future of what AI can do for firms.

It can automate tasks such as entering lease data, a notoriously laborious and manual task with a high risk of costly mistakes. AI is already moving beyond simply helping someone complete one task faster. It can work across the information and workflows behind property management and help teams do more of that work continuously and at scale. "We're excited about what AI can do that humans never could do," Wallace said. His firm's forthcoming audit tool is one example. It allows AI to work in the background, constantly checking important documents like leases, insurance data, and contracts to check for inaccuracies and discrepancies. This kind of automated auditing can help greatly reduce the risk of legal, operational, and financial liabilities.

Insights that lead to action

With AI as a support tool, more data and information extracted means far better insights for users. "It starts with entering data at scale, something people just don't have time or resources to do," Wallace said. "With all that data then in the system, they can do so much more, and AI can unlock that." Beyond just extracting data from an invoice, the tool can then check for fraud against bank accounts and do things like create rules to rename and file the data in multiple destinations.

Think of it as giving the whole team access to the knowledge that might previously have lived in one person's head, inbox or filing system. Instead of relying on someone to know where a particular lease clause sits or spending time searching through individual records, teams can ask questions about a lease or their entire portfolio and quickly surface the information they need. AI can identify important obligations and potential issues, and take action on workflows such as maintenance requests, tenant communications and arrears. The result is not just more information in the system, but a property team that can access, understand and act on that information without having to know where to look first.

AI adoption is accelerating across commercial real estate. Re-Leased's Market Lens 2026 research found that active AI use among commercial landlords increased from 32% to 57% globally in just twelve months, reaching 64% in the US. And real estate leaders are starting where the data lives: lease administration and abstraction is the leading AI use case in every market surveyed, cited by 60% of respondents globally and 66% in the US.

That focus is already delivering results, with 61% of active AI users reporting measurable productivity gains, most commonly through reduced administrative and manual work. But the bigger opportunity starts with that foundation. Accurate, up-to-date lease data gives property teams the visibility they need for better reporting, portfolio-level insight and more strategic decision-making.

The report found that real estate executives are recognizing the value of lease portfolios and increasingly using portfolio data to gain actionable insight and guide strategic planning. Advanced AI tools like Re-Leased's Credia have the ability to analyze large swaths of data that lease entry involves and be programmed to analyze data and identify trends and significant data points that can help businesses run better.

Balancing AI and human judgment calls

CRE firms now have a range of AI tools to choose from to help run their business more efficiently. As innovations continue to transform how companies in the space operate, it can be tempting to use AI in every part of a firm's workflow. However, experts say to use caution when implementing these kinds of tools.

In a study from Harvard Business School and the University of California at Berkeley, researchers found a major divide in performance outcomes for test subjects using AI assistant tools. They pinpointed the difference to how subjects chose suggestions from AI, concluding that human judgment and experience are critical to interpreting and applying advice, whatever the source may be.

For CRE professionals, good AI workflows keep the human involved where judgment is required. AI can handle the extraction, comparison, monitoring, and preparation, then flag issues or recommend action for a property professional to review and approve. The AI does the checking; the human makes the judgment call — the tools free up teams to focus on the decisions that require that human touch.

"Once you've got AI running and making teams more efficient, what most companies will do is look for ways to grow, not just cut costs," Wallace said. By freeing up professionals that are hampered by so many disconnected tools, teams can spend more time taking in-person meetings and building relationships that help further expand their business.
